The Credit Manager is responsible for overseeing all aspects of the credit and accounts receivable functions, ensuring timely and accurate processing of customer payments, managing customer inquiries, and providing support to branches and sales teams. This role involves leading a team of four, handling various administrative and financial tasks, and maintaining strong customer relationships. This role reports directly to the Vice President of Finance.
Job Responsibilities
Team Leadership:
Oversee AR team of four responsible for managing customer inquiries, processing COD forms, applying customer payments, handling collections, and maintaining cylinder adjustments and records.
Provide training, support, and guidance to the AR team.
Ensure department and company goals are achieved.
Conduct annual performance reviews; ensure adequate coverage of department at all times.
Accounts Receivable Management:
Actively contribute to company leadership team by publishing KPIs, participating in strategic meetings and providing insights to management.
Effectively communicate with sales, operations and account managers by providing AR and credit support.
Develop and maintain positive relationships with customers.
Set up and navigate customer invoicing portals; provide training.
Research and correct tax errors; process supplier/vendor forms and customer W-9 requests.
Maintain customer contact information; accurately code and maintain proper tax exemption status for applicable customers in five states.
Maintain follow-up notes in the Customer Centric Task Management System.
Collections and Credit Management:
Review daily exception reports.
Directly handle collections ($2K+) and distribute collection lists under $2K to AR team.
Run and review D&B and Experian credit reports to determine creditworthiness.
Process credit applications and open new accounts for businesses and individual consumers; send welcome emails to new customers.
Routinely monitor and update credit limits and terms.
Negotiate payment plans and terms for potential sales beyond customer’s credit limit; approve installment payment plans.
File bankruptcy claims; manage bad debt and bad debt collected; place customers for collection with third party collection agency.
Payment Processing:
Ensure customer payments are correctly applied (checks, ACH payments, credit cards, payments on account, etc.), and all billing and cylinder issues are corrected and resolved.
Ensure checks are deposited daily via RCD scanner.
Process minor adjustments, overpays, short pays.
Ensure updated credit cards are added on file for customers on auto-pay.
Customer Communication:
Resolve escalated customer issues and ensure all commitments to customers are met.
Manage and respond to customer inquiries from group email boxes.
Promote eCommerce customer portal.
Other Duties:
Continuously develop, implement and improve companywide credit policies, procedures and department processes.
Organize office events and manage general maintenance issues.
Perform other duties and special projects as assigned.
Qualifications
Bachelor’s degree in finance, accounting, or related field.
Minimum of 5 years of experience in credit and accounts receivable management.
Strong leadership and team management skills.
Must be detail orientated with the ability to solve problems, prioritize and multi-task in a fast-paced, deadline-driven environment in a consistent manner.
Flexibility to adapt to change and to coordinate workload to meet deadlines with a positive attitude.
Customer focused with a sense of urgency and self-motivation.
Excellent verbal and written communication and customer service skills.
Ability to maintain confidentiality of company information.
Proficiency with office applications, and aptitude for learning new software, systems, and processes.
Clean driving record, as well as reliable transportation.
Ability to lift and move up to fifty pounds.
